Receptionist

As a Receptionist, your interaction with our patients is a very important one. We want our patients to see the friendly smile on your face when you greet them and hear it in your voice when you interact with them over the phone.

Responsibilities:

  • Welcome and greet all patients and visitors, in person or over the phone.
  • Answer multi-line phone while maintaining a polite, consistent phone manner using proper telephone etiquette.
  • Preliminary triaging of emergency patient phone calls. Forward calls to the appropriate person or department.
  • Schedule appointments.
  • Patient check in and check out.
  • Update existing patient demographics including personal, financial, and insurance information.
  • Evaluate chart data to verify all information has been received, is complete, and signatures obtained.
  • Ensure that proper authorization or referral is collected from the patient or assist patient in obtaining authorization or referrals that have not been received.
  • If the doctor is referring the patient to another physician, call physicians’ office, arrange an appointment for the patient.
  • Collect patient payments, record payments in the data base and provide the patient with a receipt.
  • At the end of the day, reconcile all payments received and prepare bank deposit.
  • Follow patient no-show policy.
  • Process incoming and outgoing mail. Research correct addresses for returned mail, and update patients' records.
  • Maintain work operations by following compliance plan, policies and procedures.
  • Facilitate patient flow by communicating with provider, patients, and clinical staff.
  • Respond to patients', prospective patients, and visitor inquiries in a courteous manner.
  • May be required to keep medical office supplies adequately stocked by anticipating inventory needs and placing orders.
  • Protect patient confidentiality.

Ophthalmic Assistant/Tech

The Ophthalmic Assistant/Tech interacts with patients using compassion, respect and professionalism. Monitors patient flow, prepares the patient for the exam, and assists the physician in patient examinations to allow for proper, professional diagnosis of patients' conditions.

Duties:

  • Obtain patient medical history, chief complaint, and history of allergies and medications
  • Perform accurate and consistent documentation and measurement tasks to include:
    • Visual Acuity
    • Lensometry

Medical Biller

ECVA's Orchard Park Team is looking for an experienced full time Medical Biller. Energetic, caring, and reliable are the qualities we are looking for in our Team Members.

Your job as a Medical Biller is a very important one. You are responsible for timely preparation and filing of insurance claims (paper and electronic claims transmission), insurance aging reports, and prior approvals. Additional responsibilities include the timely review and follow up on all claims and collection of insurance claims and patient accounts. Our Billing Manager is always willing to work with you to review problem accounts and identify necessary action to be taken.

Education and Experience:

  • High school diploma or equivalent.
  • Previous medical office billing experience.
  • Strong computer background.
  • Fluent in English.

Responsibilities:

  1. Claims-Preparation and Filing:
    • Print and mail paper claims.
    • Transmit electronic claims.
    • Attach EOBs, reports, or original claim forms as needed.
    • Send any additional information requested.
  2. Timely Follow-up on all claims:
    • Phone insurance companies for status on claims.
    • Correct and/or re-bill when needed.
  3. Electronic Submissions:
    • Read reports to verify claims were received by clearinghouse and check for errors. Log all transmissions.
    • Follow-up any rejections, correct errors and re-bill claims.
    • Communicate with Clearinghouse to resolve problems.
  4. Review insurance claims daily. All documentation is entered in to the note section of said ticket regarding billing and EOBs.
  5. Responsible for collection procedures on all patients over 30 days.
  6. Generate monthly A/R report for all accounts 60 days and over for all account types.
  7. When accounts are 60 days old and no response has been received from the insurance company or the patient, a phone call is made to the appropriate party.
  8. Establish possible payment plan if appropriate and agreeable.
  9. Maintain daily log of patients we are expecting payment from; follow-up on non-payments.
  10. Work with Billing Manager to determine which accounts need appropriate collection process for those accounts over 90 days.
  11. Meet with Billing Manager weekly to discuss problem accounts and plan for upcoming week.
  12. Review the accounts aging analysis report monthly to determine the accounts requiring immediate attention (after 60 days and over $500 balance are priority). These accounts are to be noted immediately. Follow-up on all insurance denials in a timely matter.
  13. All insurance accounts referred from Billing Manager are re-filed or called.
  14. Incorrect payment amounts or denials are filed for review.
  15. Coordinate all patient and insurance refunds with Billing Manager and/or Accounting.
  16. Communicate with Billing Manager any billing supply needs.
  17. Posting of all payments received via mail and EFTs, reconcile own daily financials.
  18. Update provider information.
  19. Take calls directed to the Billing Department from patients and/or insurance carriers. Discuss accounts with patients and provide information required by insurance companies in order to get claim paid.
  20. Assist the front desk and Optical department troubleshoot their posting and billing errors.
  21. Assist front office personnel as time and demand require.
  22. Assist with special projects as requested by management.
  23. Maintains work operations by following compliance plan, policies and procedures; reporting compliance issues.

Office Manager - Elmwood Ophthalmology Clinic

Working management position that is responsible for overall office activities, oversees the day-to-day operational functions of a particular location of the medical practice, ensuring that office policies and procedures are executed in a smooth and expeditious manner. Key responsibilities include personnel management, patient flow, and office administrative duties.

Education and Experience:

  • High School Diploma
  • BS or AAS Degree preferred
  • 7-10 years of experience working in a medical office preferred
  • 3-5 years of prior experience working in an Ophthalmology office preferred
  • 3-5 years of previous supervisory experience is preferred
  • Knowledge of basic building maintenance helpful
  • Certified Ophthalmic Assistant designation is desired
  • 3+ years of prior experience working as an Ophthalmic Technician and/or Scribe is desired
  • General Knowledge of Information Technology, Networking and Office Equipment

Responsibilities:

Staff

  • Conduct daily "coaching & game plan strategy" meetings at the start of each day with Office Team.
  • Oversee all employees at physical location. Delegate duties to utilize staff at optimal efficiency; including rotating staff when necessary to accomplish projects. Address any behavioral issues as they arise.
  • Directly supervise Technicians, Scribes, Surgical Coordinators and Receptionists that are regularly scheduled at the location you manage.
  • Efficiently schedule employees, monitor employee’s attendance with regard to ECVA's Attendance Policy. Review and edit employee’s time cards daily, ensure employee’s time card is accurate before approving for payroll.
  • Communicate with other managers regarding workflow consistency and performance for staff that routinely float between offices.
  • Attend manager meetings to present and resolve on-site/policy issues as they arise.
  • Conduct regular staff meetings to keep employees apprised of policy changes and/or updates. Discuss and resolve any new issues pertaining to on-site location.
  • Be familiar with the duties of the Technical and Receptionist staff and be able to fill-in as necessary to facilitate patient workflow.
  • Perform performance reviews for Technicians, Scribes, Surgical Coordinators and Receptionists regularly scheduled at the location you manage and meet with the Practice CEO to discuss recommended raises, promotions and disciplinary actions.
  • Be available to participate in performance reviews for employees who rotate at your location, but report to other managers.
  • Create an atmosphere of cooperation and teamwork.
  • Maintains work operations by following compliance plan, policies and procedures; reporting compliance issues.
  • HIPAA Security - it is the responsibility of the Office Manager to assess risk and engage in ongoing evaluation, monitoring, and reporting of HIPAA security breaches and accessibility issues to the HIPAA Compliance Officer.
Patient Flow
  • Be aware of patient flow and take corrective action to ensure that the office is running efficiently.
  • Be aware of office procedures for dealing with patients in an emergency situation.
Physical Plant
  • Periodically monitor office physical environment and operations to gauge the effectiveness of security safeguards.
  • Works in collaboration with the practice CEO to coordinate minor office repairs, general and preventative maintenance including supplies such as light bulbs, furnace filters, batteries etc. Overall appearance of the office, window cleaning, office cleaning, carpet cleaning, snow plowing, landscaping.
Equipment
  • Supervises the maintenance of office equipment, including copier, fax machine, etc. and contacts appropriate vendor for repairs or replacement.
  • Notifies the Administrator of problems with or repairs needed to medical equipment.
  • Reports all computer issues to Administrator or designate.
Administrative
  • Contributes to adhoc administrative, strategic planning and quality assurance projects as needed to help enhance ECVA operational efficiency.
  • Communicates on a regular basis with CEO to provide progress reports on team building activities, customer service and operational issues.
